ISP Control Escolar Specialist Role Profile

 

Purpose of Role

The Specialist in Control Escolar ensures the accurate management, safeguarding, and compliance of all academic, legal, and administrative student records. This role supports the school’s operations by maintaining official documentation, meeting regulatory requirements, and facilitating smooth processes for admissions, enrollment, re-enrollment, transfers, certifications, and graduation. The specialist acts as a key liaison between students, parents, staff, and educational authorities to guarantee timely, precise, and confidential handling of information.

Key Responsibilities

  • Maintain and update student records in accordance with internal policies and government regulations.
  • Oversee enrollment, re-enrollment, withdrawals, transfers, and graduation procedures.
  • Prepare and submit required reports, certifications, and official documentation to educational authorities (e.g., SEP or equivalent).
  • Monitor compliance with applicable laws, accreditation standards, and school policies.
  • Ensure data integrity, confidentiality, and security of all student information.
  • Provide accurate information and guidance to parents, students, and staff regarding academic procedures and requirements.
  • Coordinate with academic and administrative departments to ensure accurate and timely record-keeping.
  • Manage deadlines for official documentation, certificates, and report submissions.
  • Support audits, inspections, and reviews from educational authorities.

Skills, Qualifications and Experience

Skills:

  • Strong attention to detail and accuracy in data management.
  • Excellent organizational and time-management abilities.
  • High level of discretion and commitment to confidentiality.
  • Strong interpersonal and communication skills for dealing with parents, students, and staff.
  • Problem-solving skills with the ability to work under pressure and meet tight deadlines.
  • Proficiency in school management systems, databases, and Microsoft Office Suite (Excel, Word).
  • Knowledge of educational regulations and administrative procedures.

Qualifications:

  • Bachelor’s degree in Education, Administration, Law, or a related field (or equivalent experience).
  • Knowledge of local/national education laws and requirements (e.g., SEP regulations in Mexico).
  • Certification or training in school administration or records management (preferred).
  • Strong command of written and spoken Spanish; English proficiency is an asset for bilingual institutions.

Experience:

  • Minimum of 2–3 years of experience in school administration, academic records management, or a related administrative role.
  • Experience working with government education platforms, reporting systems, or compliance processes is highly desirable.
  • Previous experience in a school, college, or university setting preferred.
